ANETRA is a cleaning company based in the Puy-de-Dôme region of France. It operates across more than 500 sites, providing cleaning services primarily in the following sectors: commercial, industrial, paramedical, medical, and more.

Since 2023, ANETRA has been using MoveWORK Flow to digitalize the collection of working hours for its 150 agents, carry out quality checks and joint inspections, and digitize work orders.

Carole Cassard, Branch Manager, agreed to share her experience and answer our questions about the day-to-day use of MoveWORK solutions.

What prompted you to look for an external tool, and why did you choose MoveWORK?

Before digitalization, our processes were entirely paper-based. We operated on a “self-reporting” basis, meaning that our agents manually provided information about their presence, their interventions, or any incidents encountered in the field. This system relied on their good faith when reporting data, with no way to verify or centralize the information.

As a result, I was faced with delays in processing information, a lack of transparency, and difficulties ensuring reliable traceability of interventions, particularly in the event of disputes or complaints. We therefore needed a tool that would allow us to digitalize our interventions, ensure traceability with concrete proof of our agents’ presence on site, and guarantee consistently high-quality service.

I was already familiar with MoveWORK Flow, as it had been deployed at one of our sites. I knew the platform had significant potential for managing and monitoring our activities. During the tender process, MoveWORK’s solutions were the perfect fit for our needs, combining digitalization, operational efficiency, and customer satisfaction.

How do you use the MoveWORK Flow platform in your operations?

We use the MoveWORK Flow platform to centralize and optimize all our operations. This gives me an overview of intervention workflows and agent presence on site. Thanks to QR codes linked to the myMissions mobile app, installed on our agents’ phones, they can clock in and out. The solution also digitizes our internal and joint quality inspections directly through MoveWORK Flow. In just a few clicks, teams can carry out an inspection using forms that are automatically uploaded to the platform. These reports can then be quickly shared with clients, helping to improve the quality of our services and enhance customer satisfaction. The myMissions app also allows us to closely monitor incidents. If an agent encounters an issue on site, such as a water leak in the restrooms or a broken elevator, they can immediately report it to their manager via myMissions.

This information is then shared with clients to ensure that issues are addressed quickly and efficiently. Finally, we have digitized our work orders through MoveWORK Flow, which is essential for us, as these documents are the only proof of our agents’ visits and the main supporting documentation for invoicing. With MoveWORK Flow, their management is now entirely digital, whether for recurring or one-off work orders. This reduces the risk of documents being lost, simplifies invoicing, and enables us to securely archive these documents.

How did you convince your agents to download the myMissions app, and what was their feedback?

Digitalization can sometimes raise concerns, and some agents were worried about being monitored, leading them to resist installing the app. To overcome these concerns, I held individual face-to-face meetings with each agent to explain that the main purpose of the app is to ensure their safety and provide proof of their presence at our clients’ sites.

In the event of an accident on site, myMissions allows us to prove to clients and insurance companies that the incident occurred during the agent’s intervention. Overall, the app was well received, apart from a few reluctant agents. One of the advantages of MoveWORK’s solutions is that several clock-in methods are available. For those who are more hesitant, we can offer alternative options, such as badges.

After a few weeks of use, the agents’ feedback was very positive. When the app is presented as a safety tool, it is perceived differently. In fact, all agents have, at some point, had to deal with clients questioning whether they had actually been on site. Now, they simply need to show their proof of attendance, and any doubts are immediately resolved. Our priority is to ensure their protection, and the myMissions app helps us achieve this goal.

What benefits have you seen for yourself, your teams, and your clients since implementing MoveWORK Flow?

MoveWORK has already transformed our daily operations, even though the platform has not yet been fully deployed. We have nevertheless seen significant time savings: quality and joint inspections can now be carried out in just a few clicks, reporting issues encountered on site via myMissions and then sharing them with clients has become much more seamless, and we have significantly reduced the loss of work orders.

These improvements have not gone unnoticed. Some clients have expressed their enthusiasm about the digitalization of our processes and work orders, which they find particularly useful. As for our agents, they appreciate the efficiency and security that these tools provide.

Would you like to deploy MoveWORK Flow on new projects? Would you recommend MoveWORK’s solutions?

Ultimately, we would like to deploy MoveWORK across all our client sites, covering every sector in which we operate. We are still at the beginning of the process, but we are already seeing the first positive effects on our teams and internal processes.
