La Normande

La Normande is a family-owned cleaning company founded in 1964 and, since 2022, has been a wholly owned subsidiary of the AWEN-SERVICES Group. From regular cleaning to full deep cleaning, the company specializes in a wide range of services: facility maintenance, disinfection, waste management, and exceptional services such as intensive cleaning and high-pressure cleaning.

In October 2023, following the recommendation of AWEN Propreté, the company chose MoveWORK solutions to digitize the management of its work orders.

The digitalization project for La Normande’s work orders

Project background

La Normande primarily managed its service activities using paper-based processes. Work orders were printed without a date or time limit, then handed over to agents to carry out on customer sites. Agents managed their assignments independently and provided a report to their supervisor at the end of each week.

This process was inefficient, and the company faced several challenges:

  • 1 hour lost per week per agent to complete paper work orders
  • Approximately 10 hours of work per week dedicated to collecting, entering, and processing work orders
  • Lack of efficiency in organizational processes
  • Increased risk of human error due to manual data management
  • Lack of traceability and transparency regarding completed interventions (where, when, who, and how)
  • Increased costs: printing, storage, travel expenses, etc.
  • Complex month-end invoicing due to missing information, lost documents, and the lack of proof that tasks had been completed.

Project scope and objectives

Spread across numerous customer sites, La Normande’s mobile teams did not have the tools needed to report task progress to their supervisors in real time.

To address this issue, the work order digitalization project was launched and covers all customer sites where the company operates:

  • 55 customer sites in the Paris region
  • 5 types of facilities: offices, healthcare, schools, residential buildings, and retail
  • 3 field operatives
  • 1 person dedicated to the project within La Normande
  • Overall supervision by La Normande’s Executive Management

The objectives of digitizing the work orders were to ensure the traceability of completed interventions, provide proof of agents’ visits, reduce paper waste, and create a digital history containing all work orders to provide evidence in the event of disputes.

The MoveWORK solution, ideal for optimized intervention management

To monitor the status of ongoing and upcoming interventions, the MoveWORK Flow platform was deployed at La Normande. The interface is accessible to the project lead and, thanks to its wide range of features, enables the company to collect, centralize, correlate, and analyze operational data related to its activities. To achieve this, a dedicated management workspace and intelligent automations were created in collaboration with MoveWORK consultants:

2. Automations to optimize daily operations

This feature enables users to configure predefined actions that are triggered based on criteria they define, such as action frequency, date, time, or task type. These automations enable La Normande to closely monitor its services while maximizing its responsiveness to unexpected events.

La Normande quickly leveraged their potential by integrating no fewer than 27 automated processes into its daily operations. Configured according to the specific requirements of each intervention, these automations have significantly improved the efficiency and responsiveness of field teams, covering activities such as grounds maintenance, window cleaning, and mechanical floor cleaning.

3. myDecisions, the mobile app for accessing your work orders anytime, anywhere

To complete, sign, and validate work orders, La Normande’s field operatives were equipped with the MyDecisions mobile app, which works seamlessly with MoveWORK Flow. MyDecisions offers several features, including:

  • Date, complete, add notes and photos to, and validate work orders

  • Submit requests or report issues directly from the field using a digital kiosk and customized forms, even when offline

  • Automatically organize and dispatch tasks based on priorities

  • Collect field data, which is then reported and centralized in dashboards on the MoveWORK Flow platform
