ISS France, a pioneer in Facility Management, has chosen MoveWORK to digitalize attendance management on its event sites. The MoveWORK Flow platform and the MyTeam application play a key role in coordinating their workforce.

Claire DELAPORTE, Contract Director for Roland-Garros and ViParis, took part in a Q&A session. Discover how ISS uses MoveWORK Flow in its operations!

In what context did you seek a management platform?

We were looking for a tool to track our employees, especially during the Roland-Garros tournament. During this period, we experience a sharp increase in activity, going from 15 to 450 employees in a very short time. Our goal was to obtain precise monitoring of arrivals and departures on-site to handle absences promptly. With this data, we can then generate payroll more efficiently based on working hours. We have been using the MoveWORK Flow platform since the 2023 edition.

Why did you choose MoveWORK?

MoveWORK was already listed at ISS France, and the feedback from users in the Cleaning branch was very positive. As part of the Roland-Garros project, colleagues recommended your solution to me.

How do you use the MoveWORK Flow platform in your operations?

During the tournament, we use the platform and the MyTeam application to clock in employees at our office reception. With these tools, we get a real-time 360° view of vacant positions and attendance rates at each site. This is essential, as we manage between 60 and 100 agent arrivals per shift.

The platform perfectly adapts to our organization and the requirements of our event projects. We can structure team roles and act efficiently with full autonomy. In case of delays or absences, I am automatically notified, along with the supervisors of the corresponding areas! MoveWORK Flow provides real-time absenteeism tracking and allows us to handle replacements quickly and efficiently by reallocating agents from one area to another.

If no agent is available, I call on substitutes from our talent pool. These substitutes are not on-site and are only mobilized in case of emergency. With MoveWORK Flow, we benefit from true autonomy in access management. Substitutes are directly integrated into the system and can access the site with a personalized QR code accreditation. This is essential for managing the frequent unforeseen situations that arise in this type of event.

What benefits have you and your teams observed since implementing MoveWORK Flow?

The MoveWORK Flow platform saves us time by automatically collecting working hours with precision and speed. With this visibility, we can track discrepancies to prepare payroll and compensate agents based on their recorded attendance. We identify all out-of-contract working hours and adjust compensation accordingly.

Additionally, with MoveWORK Flow, we obtain highly detailed operational reports, particularly by configuring schedules and event zoning within the platform. These reports centralize all data and analyze it automatically. As a result, we don’t need to multiply tools to assess absenteeism rates and processed replacements. Everything is integrated into a single interface.

What challenges does the solution help you address?

Our main challenge is attendance management, as it directly impacts payroll accuracy and, consequently, effective HR management. This monitoring also ensures cost control, as we operate in a service industry. In fact, 95% of the success of our contracts and commitments relies on efficient workforce management.

How does ISS plan to leverage the MoveWORK Flow platform for the major sporting events coming up in 2024?

For the upcoming major events, we will simply replicate the system implemented for the Roland-Garros tournament. Essentially, it’s like managing a second tournament, as the project oversight is almost identical. MoveWORK Flow easily adapts to the organization of any event team.

The structure will be similar, with me overseeing the operation, operations managers assigned by time slot, supervisors, and agents.

For these sporting events, we will have roughly the same number of employees. The only difference is the management of an additional site. We will simply apply what we already know, based on the experience gained from previous editions. We are confident it will work because MoveWORK Flow has already proven its effectiveness on this type of project.
