Sorbonne University, a leading institution of education and research in Paris, has chosen MoveWORK for the launch of its cleaning services contract and, more broadly, to digitize the management of all its service activities. With the MoveWORK Flow platform, the organization can easily monitor its performance indicators in real time.

Bernard RODRIGUEZ, Head of Department within the Logistics & Maintenance Directorate, kindly agreed to answer our questions.

In what context did you look for a management platform?

Sorbonne University has set specific objectives for all its departments. To track these indicators, we needed a tool that provided clear visibility into activity statistics. This data would help us in decision-making and managing human resource allocation. As a result, the digitalization of activities became essential. We began searching for a customizable multi-domain tool capable of delivering tailored solutions for each area of activity.

Our primary need was to have a tool for monitoring outsourced cleaning services. These services are entrusted to a provider under a public contract. Every four years, when the contract was renewed, if we changed service providers, we also had to change the monitoring tool. This often led to frustrations and, of course, operational challenges, such as a lack of visibility and functional limitations.

What were your needs and the objectives of your project?

We wanted to have a tracking tool with which we could easily present statistics and performance indicators. At the same time, we were looking for a professionalizing solution for our various departments and the different professions at Sorbonne University.

The common goal of the departments is the digitalization of logistical, technical, and administrative activities. We were looking for a platform that would allow the integration of other activities over time and enable cross-functional collaboration.

Why did you choose MoveWORK?

MoveWORK was recommended to us by a project management assistant (AMO) with whom we had collaborated as part of the renewal of our cleaning contract. After attending a presentation of MoveWORK, we were convinced of the potential of such a tool within our organization, particularly due to its features, adaptability, and relevance beyond the cleaning sector.
