What led you to use an external tool?

The main challenge for SONEPRO was how to track staff visits without relying on a logbook. This method was time-consuming and also costly. As a result, the idea of developing a remote time-tracking system was proposed. We were specifically looking for a solution for attendance control, particularly to provide clients with information about the services performed. We wanted to implement workspaces to offer clients data traceability. This was also a key requirement in responding to tenders. The challenge was to enhance traceability to better meet the client’s existing needs.

Why did you choose MoveWORK?

Beyond time tracking, there is now a need to go further, particularly to free up time for sector managers. We need to simplify data transcription and transmission while improving processes. When we talk about transcription, we refer to quality checks that are done manually and then re-entered on computers. These checks are then sent to the accounting department, where the data is re-entered again. So, while we had a solid process, there were three steps that we could streamline.

Additionally, there is the whole CSR aspect, where the challenge is to reduce paper usage. Beyond cost savings, this also helps prevent the loss of quality control records and ensures access to necessary documents, especially for audit certifications. MoveWORK Flow meets various needs and also allows us to demonstrate the company’s added value through digitalization.

What successes and challenges did you encounter in implementing the solution?

Our company employs sector managers who are older (50-60 years old), so it was essential to develop a simple and efficient digital tool. A significant internal adoption effort is required.

MoveWORK Flow has strengthened our brand image, as it is a product that clients appreciate. The portability of the solution and the ability to track data on a tablet instead of using paper also adds a practical advantage.

In terms of management, what benefits have the dashboards provided you?

Currently, everything is done in Excel in a rather tedious manner. The option of digital traceability with more direct and expert reporting is a real advantage. It saves a huge amount of time and provides a comprehensive view of what is happening. A complex system has now been simplified. Dashboards will optimize time-consuming processes, such as quality checks, which often involve oversights and errors. Being reactive and predictive is not the top priority, the key is not to move too fast but to ensure things are done properly and progressively.

Do the decision-makers accept assistance in drafting the specifications?

Very little in the public sector, but much more in the private sector, especially for large contracts. For major projects, decision-makers are increasingly seeking advice from cleaning companies. Our field expertise is an asset, particularly on sites where there was initially no budget, allowing us to implement highly CSR-oriented models. This is particularly the case with one of our clients in the nuclear sector. In this project, we are working as consultants to develop a more eco-friendly model with a better quality-price ratio. Consulting helps improve the specifications from both a CSR and operational perspective.

What are the prospects for 2023?

Cleaning services are becoming more complex, and decision-makers are increasingly demanding. The number of additional tasks is often increasing at the expense of service quality.
Today, the focus is more on maintaining quality rather than increasing the quantity of services. More and more recommendations are emerging: we no longer perform tasks just for the sake of doing them, but rather at the right time! Pricing also plays a key role in expectations for 2023. Service quality and the traceability of operational data will be the differentiating factors. MoveWORK Flow is clearly an area of improvement that enables SONEPRO to meet these needs.
The approach is shifting toward more flexibility and less frequency meaning we don’t just perform tasks routinely, but rather based on actual needs.
