PROCLAIR, a specialist in sustainable cleaning, has chosen MoveWORK to digitalize its quality management system. The MoveWORK Flow platform supports the company’s 600 employees daily across three operational territories in the South of France and the Lyon region.
Grégory MARTINEZ, Quality, Safety, and Environment Manager, answered our questions.
In what context did you seek a management platform?
We were looking for a tool to solve a responsiveness issue in information transmission. As an SME in the cleaning sector, we had no IT systems in place, and our processes were not digitalized at all. As a result, field information took days to reach us, and the delays were far too long.
On one hand, our agents deployed at client sites had to regularly come to the headquarters to drop off documents. On the other hand, since we mainly relied on paper and phone communication, we frequently faced issues such as lost quality control reports or service orders.
Why did you choose MoveWORK?
During our search, we couldn’t find a tool that was perfectly suited to our way of working. Internally, we use a specific operating system, so we needed an interoperable solution. MoveWORK Flow offered a gateway system that allowed us to seamlessly integrate our tools without any data loss. We didn’t have to dismantle everything and start from scratch.
Additionally, MoveWORK Flow provides real autonomy, especially in designing forms and quality controls. Thanks to its flexible editor, the platform adapts to our needs, our sites, and our reference grids.
How do you use the MoveWORK Flow platform in your operations?
First, supervisors use the platform to conduct quality checks and joint inspections with clients. At the end of each evaluation, the results are automatically calculated and sent in real time to MoveWORK Flow. As the QSE Manager, I am responsible for implementing, processing, and analyzing these inspections. I review the results using tracking dashboards, and if an issue is detected, I can respond immediately.
For our Côte d’Azur and Rhône-Alpes agencies, MoveWORK Flow allows me to create customized dashboards. I have full autonomy in managing access and permissions, enabling agency directors to easily monitor their activities without requiring daily reports from me.
Additionally, we use MoveWORK Flow to manage periodic services. Service orders are fully digitalized, and agents have clients sign directly on the app. With the platform, I can create customized forms for each situation, and once a service is completed, I receive the information instantly. I no longer have to wait until the end of the month to process 500 service orders simultaneously and integrate the data into the payroll system.
Finally, we use MoveWORK Flow for employee time tracking at client sites. This allows us to monitor and verify attendance remotely. This system has become a strong selling point for our clients, as they can access real-time insights on attendance and service quality at any moment and in record time.

What benefits have you and your teams observed since implementing MoveWORK Flow?
For Proclair, the main advantage is time savings. Thanks to the applications, agents can quickly conduct quality checks without having to come to the office to submit results. They are autonomous and manage their schedules independently. MoveWORK Flow truly engages them in a quality-driven approach and fosters a long-term relationship of trust.
For the Quality department, MoveWORK Flow saves us time in collecting information and processing quality controls. This system also helps us meet payroll deadlines. Additionally, we can handle client complaints more efficiently thanks to the extensive operational reporting. When managing 450 employees and over 500 clients, it’s impossible to be on-site every day. MoveWORK Flow provides us with a 360° view of our operations in a single tool.
