Artemis Group is a company made up of 7 subsidiaries and 1,500 employees, with security as its core expertise. In response to growing client demands, Artemis Group has expanded its services to include the provision of reception hosts for events and businesses through its subsidiary: Artemis Events.

In what context did you seek a management platform?

The main objective was to ensure that our reception hosts adhered to their schedules. We received several client reports stating that some hosts were leaving their posts before the end of their shifts. For example, hosts whose shifts ended at 7:00 PM were leaving at 6:45 PM, despite being paid for a full day.

As an operations manager overseeing three regions, I need to supervise all teams, ensure service quality, and maintain client satisfaction. I therefore needed a traceability solution that would allow real-time supervision of my teams’ clock-ins and clock-outs at each client site.

Why did you choose MoveWORK?

The Security subsidiary already had a MoveWORK Flow subscription, and we took the opportunity to test the platform using their user account. We immediately recognized the value of such a tool in our industry, reception services. To optimize the management and monitoring of our hosts’ attendance, we decided to create an account for the Events subsidiary.

How do you use the MoveWORK Flow platform in your operations?

Artemis Events primarily uses the platform’s time tracking and attendance monitoring features. On one hand, we work at sporting events, notably with football clubs such as Racing Club de Lens and Olympique Sporting Club Lille (LOSC). On the other hand, we provide hosts for shopping malls, museums, and business towers.

In each region, we have set up alerts to be instantly notified of any delays. Together with my sector managers, we can check within minutes whether the hosts are at their posts, absent, or if it’s just a technical anomaly.

To collect attendance data, we have equipped around fifty hosts with the MyMissions app, allowing them to clock in using NFC tags deployed at our client sites. This personalized method is much faster and more reliable than clocking in via a landline. It gives us a comprehensive overview of check-ins and check-outs across all operations.

Beyond clocking in, the MyMissions app also allows hosts to track their schedules in real-time, receive exceptional intervention requests, and verify their additional working hours. No more needing to jot down hours on paper—if they work extra hours, everything is recorded digitally.

Finally, MoveWORK Flow is integrated with our scheduling software, Comète, allowing us to generate payroll statements that accurately reflect real on-site activity. In the long run, we also aim to conduct all our quality audits using MoveWORK Flow dashboards. By collecting real-time data and measuring punctuality at client sites, we will obtain clear analysis reports almost instantly.

What benefits have you observed for yourself, your teams, and your clients since implementing MoveWORK Flow?

The MoveWORK platform has allowed us to drastically reduce absenteeism and delays. With this solution, our hosts understand that there is monitoring and a framework to follow. By being uncompromising on service quality, we reassure our clients and ensure their continuous satisfaction. They recognize that we have implemented real traceability of interventions and that we are transparent about our contractual commitments. As a service provider, if the client is dissatisfied, they will switch to another provider. Our hosts fully understand these challenges and the importance of committing to a quality approach.

Additionally, MoveWORK Flow also helps us protect our hosts. For example, we once had a case where clients repeatedly reported delays, but in reality, we found the opposite! The host was consistently arriving 10 to 20 minutes early. Thanks to time tracking, we can provide proof and a detailed report in case of a dispute.
